- Variables: Explicit typed variables for each intake field
- Actions: Power Automate flow or Dataverse action that creates the record
- Escalation: Branch to human when conditions warrant (high value, sensitive, ambiguous)
Key design rules:
- Validate at each step. If the user answer fails validation, re-prompt with a clarifying message.
- Capture the authenticated identity as the submitter. Never trust a free-text "your name" field in production.

- Every write must produce a log entry in an audit table with the actor, timestamp, and before/after values.

- Guardrails: Each sub-agent has its own DLP and content moderation policies
Key design rules:
- The orchestrator owns the conversation. Sub-agents are invoked like tools.
- Keep the orchestrator simple. Its job is classification and routing, not business logic.
- Each sub-agent must be independently testable. Integration tests verify the orchestrator's routing accuracy.
- Shared context must be sanitized between sub-agents. Do not pass sensitive fields unless the sub-agent requires them.

- DLP binding: Business-only connectors unless a documented exception applies
- Audit logging: Subscribed at the environment level with retention matching regulation
- Ownership: A named business owner, a named technical owner, and a defined SLA for issues
- Evaluation cadence: Weekly test set run, monthly dashboard review
Agents without these elements are not production agents. They are pilots that will break silently.
Staffing the Agent Program
The right team for a sustained agent program is small and cross-functional:
- One agent architect (1.0 FTE)
